Document Distribution

A Document Distribution is a function that allows the transmittal and tracking of digital and physical documents.


Process

Create Distribution

Within the document ready to be distributed, select the "Distribute" action, within the Properties panel.

Enter the distribution instructions and select the type of distribution required;
  • Comment
  • Allows recipient to comment on the distribution
  • Action
  • Allows the recipient to confirm whether the action requested has been completed

Select any number of recipients;
  • Document Collections
  • A collection of documents and distributions
  • Such as a Technical Log
  • Aircraft
  • Passenger Briefing cards
  • Users
  • AirOS Users
  • User Groups
  • Groups of AirOS Users (see  User Groups  )
  • Distribution Groups
  • Groups of any of the above

Transmittals

Once sent, the distribution will create a PDF distribution. This can then be physically sent with physical documents to locations.
The QR code within the distribution is a unique link to receipt that distribution.
The One-Time Passcode provides assurance that the only method of accessing and receipting the document is with physical access to the distribution.

If Users or User Groups are selected as a recipient, they will also receive a notification within the notification bar (see  Activity ) and also receive an email notification, allowing direct review and receipting of the distribution.

Receipts

By selecting the link within the email notification or physical distribution, the user will be prompted to enter the One-Time Passcode within the distribution.

Once entered, the user can View the Document, and enter their response to distribution.


Review

Once a distribution has been receipted, the status of the receipt will be updated from "Distributed" to "Receipted" and the receipt date will be shown.
Selecting the receipt will display the response to the receipt, along with the date and user receipting it.
Details of which will be shown in the parent distribution;

Once all recipients have receipted the distribution, the status of the distribution will change to "Receipted".
